Where page numbers help most
- Theses and school papers: many universities want numbers on every page except the title page. Check your style guide for the position it asks for.
- Meeting packs: agendas and reports with Page 1 of 12 show everyone at once if a page is missing.
- Legal and office bundles: numbered exhibits and contract annexes are easier to refer to in letters and calls.
- Printed manuals: numbers at the bottom right are easy to find when you flip through a binder.
- Print shops: numbered pages help the person binding your document check that every sheet is there and in order.
Bottom center is the default and the most common choice for all of these.
How to add page numbers to PDF files built from several parts
Numbering works on each PDF you add. If your document is split across several files, combine them first with Merge PDF, then number the merged file so the count runs from start to finish without gaps.
Check the page order before you number. Moving pages later breaks the sequence, so fix it first in Organize PDF. Want a label on every page as well? Run the numbered file through Add Watermark to PDF to put DRAFT or CONFIDENTIAL across the pages.
Which number format to choose
| Format | On page 3 of 12 | Good for |
|---|---|---|
| 1 | 3 | Books, theses, short papers |
| Page 1 | Page 3 | Handouts and letters |
| Page 1 of 12 | Page 3 of 12 | Contracts and reports where a missing page matters |
| 1 / 12 | 3 / 12 | Slides and compact layouts |
Numbers are set in Helvetica, dark gray, at 11 pt unless you change it. Sizes from 8 to 24 pt let you match small footnotes or large print documents. A size close to your body text makes the numbers look like part of the page.
