When you need to organize PDF pages
- Scans out of order: a document feeder can grab two sheets at once, or a stack goes in upside down. Put the pages back in sequence without scanning again.
- Last page first: some scanners hand you the stack backwards. One tap on Reverse order fixes the whole file.
- Building a report: add the main text, a spreadsheet export and a signed approval page, then slot each page where it belongs.
- Replacing one page: add the corrected page as a second PDF, drag it next to the old version and remove the old one.
- Mixed orientation: a landscape chart that was scanned sideways can be turned upright while you reorder.
Organize, merge or delete: which tool fits
| You want to | Best tool |
|---|---|
| Join whole files in a set order | Merge PDF |
| Move single pages, also between files | Organize PDF |
| Only take out a few pages | Delete PDF Pages |
| Save a few pages as a new file | Extract PDF Pages |
Organize PDF can do most of these jobs on its own. The single purpose tools have fewer buttons, which helps on a small phone screen or with a very long document.
Tips for reordering long documents
Remove the pages you do not need before you start moving the rest. Fewer thumbnails means less scrolling. For small moves, the arrow buttons on each page are easier than a long drag across the grid.
PDFs that ask for a password when you open them cannot be loaded here, so remove the password first. Reordering does not change the file size much. If the finished PDF is too big for an email, run it through Compress PDF.
Each tap on Rotate turns a page 90 degrees clockwise, so a page that is upside down needs two taps. Rotate all applies the same turn to every page in the grid at once.
