How to Compress a PDF to 200 KB for Online Forms

If a website says your file is too large, you may need to compress a PDF to 200 KB before it will accept the upload. Why online forms ask for 200 KB or less

Government services, exam boards, universities, visa applications and job portals receive enormous numbers of documents. Text barely takes up any space in a PDF. A full page of typed text is usually only a few kilobytes. The weight almost always comes from images.

  • Scans and phone photos. A scanned page is really a picture of paper. Scanning at 300 or 600 DPI in full color produces very large images.
  • High resolution photos inside documents. A photo straight from a phone camera holds far more pixels than a printed page needs.
  • Embedded fonts. Unusual fonts are stored inside the file, which adds some size.
  • Extra pages. Blank backs of scanned sheets, instructions and cover pages all add up.

So the main ways to shrink a PDF are to lower the resolution of its images, compress those images more strongly and remove the pages you do not need.

Tips when the PDF is still too big

1. Upload only the pages they asked for

2. Rescan in grayscale at a lower resolution

Color is rarely required for documents. Scanning in grayscale at 150 to 200 DPI keeps text readable and creates far lighter images than a 600 DPI color scan.

3. Crop photos before turning them into a PDF

If you photographed a document with your phone, crop away the table, the background and your fingers first. Then build the PDF with JPG to PDF. A tight crop removes pixels that add size without adding any information.

4. Merge only after compressing

5. Do not chase the smallest possible size

If the limit is 200 KB, a 180 KB file is perfect. Squeezing a document down to 40 KB can make text and stamps unreadable, and a rejected application costs far more time than a slightly larger upload.

Compressing a PDF on Windows, Mac, iPhone and Android

Windows

Windows has no built in PDF compressor. Printing the document again with Microsoft Print to PDF does not reliably make it smaller, so a browser tool is the simplest option. Open FileKiwi in Edge, Chrome or Firefox and use it like any other website.

Mac

Preview can reduce PDFs: open the file, choose File > Export and pick Reduce File Size from the Quartz Filter menu. It often shrinks images so much that pages look blurry, and you cannot choose a target size. Use FileKiwi when you need to stay under a specific limit like 200 KB.

iPhone and Android

How to check the real file size

Upload forms measure size in kilobytes, and your computer may round the number. On Windows, right click the file, choose Properties and look at Size. On a Mac, select the file and press Command and I to open the info window.

On iPhone, press and hold the file in the Files app and choose Get Info. On Android, the Files app usually shows the size under the file name.

Leave a little room below the limit. Some systems count 1 KB as 1,000 bytes and others as 1,024, so a file that shows exactly 200 KB on your computer might still be rejected.

Before you upload: a quick checklist

  • The file is clearly below the limit shown on the form, not just close to it.
  • Every page is readable, including stamps, signatures and small print.
  • The pages are in the right order and the right way up. Use Rotate PDF if a scan came out sideways.
